How Do Automated Birthday Notifications Work on Vome?


1. What are automated birthday notifications?

Automated birthday notifications let you celebrate user birthdays without lifting a finger. Once configured, Vome can automatically send birthday emails to users in your database and/or notify admins when birthdays occur, based on the rules you define.

You can use this feature to:

  • Send birthday wishes to users (Vome Users, Offline Profiles, or both)
  • Notify selected admins when a birthday occurs in their accessible database
  • Do both at the same time

Prerequisite: Make sure date of birth is being collected on profiles. Without DOB, Vome cannot schedule the notification. You can request DOB through your profile fields, registration forms, or import it via spreadsheet.


2. Where do I configure birthday notifications?

  1. Navigate to the Database page
  2. Click the Actions dropdown in the top-right
  3. Under the Notifications section, select Manage birthday notifications

This opens the birthday notifications configuration popup.


3. What is the difference between Organization-wide and Site-level configurations?

When the popup opens, you will see two tabs (depending on your access level):

Organization-wide configuration

This setting applies to all profiles across the entire organization. It is managed by account holders only. Use this when you want one consistent birthday notification rule for everyone in your database.

Site-level configuration

This lets you create birthday notifications that target users at specific sites. Each site can have its own configuration and recipient rules. Use this when different sites need their own messaging, sender, or audience.

Who sees what:

  • Account holders see both tabs and can manage both
  • Site-restricted admins see a banner explaining that the organization-wide setting is managed by account holders, and can manage their site-level settings
  • Admins not linked to any sites only see the organization-wide tab
  • Single-site admins see one tab labeled "Your site-level birthday setting"

4. What can I configure inside a birthday notification setting?

Each setting includes the following options:

Enable birthday notifications: a master on/off toggle. The notification only runs when this is on.

Who should be notified? Choose one of three options:

  • Send birthday emails to database profiles only
  • Notify admins only (no emails sent to database profiles)
  • Send birthday emails to database profiles AND notify admins

Which database profiles should we notify? (shown when profiles are recipients):

  • Vome Users only, or All profiles (including Offline Profile status)
  • Option to include archived profiles

When should the notification be sent?

  • Send on birthday: includes a time-of-day picker. The email is sent at the specified time in each user's local timezone.
  • Send before birthday: configure days and hours in advance (e.g. 1 day, 0 hours equals 24 hours before)
  • Send immediately when profile is added to system: used for the admin watcher flow

Email configuration:

  • Use my integrated email domain: sends from your organization's connected email domain. Required if you want the emails to appear in the /emails Birthday Notifications mailbox.
  • Use Vome's email server: Vome sends on your behalf. Recommended if your database is fragmented via admin role permissions or sites.

Who should send the email? (when integrated domain is used):

  • Me (send from your own email address)
  • Other admin user (pick a specific admin as the sender)

Email content:

  • Pick an existing template (folder search is supported) or create a new template
  • Set the subject and body using the editor
  • Optionally include a signature
  • Use dynamic merge tags like {{first_name}}, {{last_name}}, {{email}}, $first_name, $last_name to personalize the message

Birthday watchers (when admins are recipients):

Select the admin users who will receive notifications when a birthday occurs in any profile they have access to. Admins will only get notified for profiles within their level of database accessibility.


5. How do recipient rules work for site-level settings?

Site-level settings include an extra Recipient rules block that organization-wide settings do not have. This lets you narrow down who receives the birthday notification beyond the basic recipient scope.

Rules use OR logic: a user matching any active rule will receive the notification.

If no rules are added, the setting sends to ALL users in the organization matching the recipient scope above.

Available rule conditions:

  • Must be active in database
  • Must be linked to specific sites
  • Must have an approved opportunity (choose which opportunities)
  • Must have finished a sequence (choose which sequences)
  • Profile tag matching: match any, match all, or exclude
  • Age condition: less than, less than or equal to, equal to, greater than or equal to, or greater than a target age, with options to include, exclude, or ignore profiles with unknown DOB
  • Must have another role under the same opportunity

6. What does "Linked site" do on a site-level setting?

Linking a setting to a site makes it discoverable and manageable by that site's admins. It does NOT automatically filter recipients.

If you want to control who actually receives the notification at a site, use the Recipient rules block. Linking and recipient targeting are two separate mechanisms.


7. How can I personalize the birthday message?

Use dynamic merge tags in the subject and body of the email. They are replaced with each user's information at send time. Supported tags include:

  • {{first_name}} and {{last_name}}
  • {{email}}
  • $first_name and $last_name

This lets you semi-personalize the birthday email so every user gets a message that feels written for them.


8. How do I view which birthday notifications have been scheduled or sent?

You have two views:

Per-setting view (site-level):

Each site-level setting exposes a Scheduled notifications view that shows the history of birthday notifications scheduled and sent by that specific setting. Filters available:

  • Status (Pending, Sent, Failed, or Cancelled)
  • Year
  • Scheduled date

Organization-wide /emails mailbox:

From the Emails page, in the left sidebar under Mailbox, open the Birthday Notifications mailbox. This shows all automated birthday notification emails sent via your integrated email domain. You can filter by Date Sent, Sender, and Status (Sent, Pending, Failed).

Important caveat: The /emails Birthday Notifications mailbox only displays automated birthday emails sent using your integrated email domain. Emails sent through Vome's servers will not appear here. If you need an audit trail in the /emails page, you must select "Use my integrated email domain" as the sender option.


9. Quick admin workflow summary

  1. Make sure date of birth is being collected on profiles (via profile field, registration form, or spreadsheet import)
  2. Go to Database > Actions > Manage birthday notifications
  3. Pick the Organization-wide tab (applies to everyone) or the Site-level tab (for targeted or site-specific setups)
  4. Toggle Enable, then choose recipients, timing, email sender, and template
  5. For site-level settings, add Recipient rules to narrow who receives the notification (otherwise all users matching the scope receive it)
  6. Save
  7. To audit sends afterward, go to Emails > Birthday Notifications mailbox (only available if the integrated email domain was selected as the sender)
