How does "Auto-link future published opportunities" work for a form's Shift Calendar?

The Shift Calendar field in the form builder lets you display an interactive calendar on a form so users can reserve shifts directly through their submission. The Auto-link future published opportunities setting makes this calendar keep itself up to date: any opportunity you publish later is automatically added to the form's calendar, without you having to reopen and edit the form each time.

1. What does "Auto-link future published opportunities" do?
When this setting is enabled on a form's Shift Calendar, any opportunity published after you turn it on is automatically added to that form's calendar. You do not need to re-edit the form for the new opportunity to appear.

Each opportunity added this way is linked with Auto-approve opportunity and Instant Book turned on automatically.

2. Where do I find this setting?
The setting lives inside the Shift Calendar field of the form builder:
1. Open a form and go to the Content step.
2. Add or select the Shift calendar field, then open Select opportunities (or Edit opportunities if opportunities are already added).
3. In the opportunity selection window, find the Auto-link future published opportunities checkbox near the top, between the help links and the search field.

InfoThe checkbox only appears once the form has been saved. On a brand-new form that has not been saved yet, the auto-link option is hidden until the form exists.

3. Which opportunities get auto-linked?
Only opportunities published after you enable the setting are auto-linked. Opportunities that were already published before you turned it on are not added retroactively. To include those, add them manually through the same opportunity selection window.

An opportunity is also only auto-linked when it belongs to the same organization as the form and matches the filters you set (see below).

4. Can I limit which future opportunities get added?
Yes. When the setting is enabled, two optional filters appear:
- Limit to sites: Only future opportunities tied to the sites you select are auto-linked. Leave it empty (placeholder "All sites") to include every site.
- Limit to categories: Only future opportunities in the categories you select are auto-linked. Leave it empty (placeholder "All categories") to include every category.

Leaving a filter empty includes everything, and the filters only apply to opportunities published from that point forward.

5. When do my changes take effect?
The auto-link checkbox and the two filters take effect immediately when you change them. They do not wait for the window's Save button.

6. What settings are applied to an auto-linked opportunity?
Every opportunity added through auto-linking is added with Auto-approve opportunity enabled and Instant Book enabled. These are the same opportunity-level settings used for opportunities you add manually, and they are applied at the moment the opportunity is first auto-linked.

In practice this means:
- Auto-approve opportunity: Registrations for that opportunity are approved automatically rather than waiting for manual approval.
- Instant Book: Shift bookings are confirmed instantly without coordinator review.

7. What happens when a matching opportunity is published?
If any form has Auto-link future published opportunities enabled, and a newly published opportunity matches that form's site and category filters, the opportunity is added to that form's Shift Calendar automatically with Auto-approve opportunity and Instant Book turned on. No further action is needed from you, and the calendar on the live form updates accordingly.

8. What do users see on the form?
Users only see the calendar and its shift cards. They do not see the auto-link setting, the filters, or any of the configuration controls. Each shift card shows the opportunity image, the role and category, the shift date, the shift time with time zone, a remaining-spots indicator (for example "Only 2 spots left!"), a Reserve action, and a "See more details" link.

InfoShifts with advanced reservation restrictions are only shown to eligible users, so two users may see a different set of shifts in the same calendar.

9. How do I stop auto-linking?
Open the opportunity selection window again and uncheck Auto-link future published opportunities. Once disabled, only opportunities you add manually will appear in the calendar, and future published opportunities will no longer be added on their own. The change takes effect immediately.
