How does the New shifts available notification work?

How does the New shifts available notification work?

When an administrator publishes new shifts and chooses to notify eligible users, Vome sends the New shifts available notification. That notification now lists the shifts that were posted, with the date, the time and how many spots are open on each one, instead of only saying that something new is there. The Reserve shifts page has a matching New filter, so a user can pull up the same set of shifts in one click.

Info
How it is triggered: This notification only goes out when you answer Notify eligible users on the prompt that appears after you publish shifts. Choosing Don't notify publishes the shifts silently.

1. What does the notification say now?

The email lists each new shift as its own card. Every card shows:

  • The shift title, when the opportunity shows titles to users
  • The opportunity and the category it sits in
  • Your organization, or the site when site branding is turned on
  • The date, and the start and end time
  • How many spots are available

The sentence above the cards counts what was posted, for example "Helping Hands just posted 3 new shifts and 1 new series for Kitchen Support". The same sentence appears on the mobile push notification and in the user's notification list.

2. What happens when I publish a recurring series?

A series is announced once, not once per occurrence. Publishing a weekly series that generates forty shifts produces a single entry marked as a new series, showing:

  • How often it repeats, for example "Every Tuesday and Thursday"
  • When the first shift starts, with its time
  • The date the series runs until, when it has an end date
  • How many shifts were posted

3. What happens if I publish a lot of shifts at once?

The email lists up to eight entries and then says how many more there are. Nothing is lost. The button at the bottom opens the full list on the Reserve shifts page, so a large batch stays readable in the inbox and complete in the app.

4. Does everyone receive the same list?

No. The list is built separately for each person, using the same rules the Reserve shifts page uses. A user only sees entries for shifts they can actually see and reserve, so these are left out of their copy:

  • Shifts outside the opportunity's shift visibility window
  • Shifts hidden because they are full and have no waitlist
  • Shifts they already hold a reservation on
  • Series set aside for administrator assignment only
  • Shifts that are closed to reservations

If none of the new shifts turn out to be available to a particular user, they still receive the notification, but it falls back to the short version with no list.

5. Where does the notification take the user?

The button in the email opens the Reserve shifts page with the New filter already applied, so the first thing the user sees is the shifts the email listed. Tapping the mobile push notification opens the same page in the app.

6. What is the New filter on Reserve shifts?

On the web, Reserve shifts shows a row of count pills above the shift list: Open spots, Waitlist available, On my waitlist, and New. The New pill says how many newly posted shifts are in view, and pressing it filters the list down to those. Pressing it a second time clears the filter.

In the mobile app the same thing is a Newly posted option under Availability in the shift filter.

Notes
What the count covers: The New count reflects the shifts the page has currently loaded, which is usually the month being viewed. It is not a running total across the whole account.

7. How long does a shift stay new?

Seven days from the moment it was published. After that it drops out of the New filter on its own. There is nothing to clear or dismiss, and the window is the same for everyone, so two users looking at the same opportunity see the same shifts marked as new.

8. Can users control how often they receive this?

Yes, and email and push are controlled separately. Under Notifications settings, New Shifts Available is a dropdown with three choices:

  • Receive All Notifications, which is the default
  • Maximum One Per Day
  • None

A user set to Maximum One Per Day receives at most one of these per day across all of their opportunities, counted in their own time zone.

9. Do users I assigned to the new shifts also get this?

No. Anyone you pre-assigned to a shift while creating it receives the personal reservation notification instead, so nobody is told twice about the same shift.

Summary

  • The notification lists each new shift with its date, time and open spots, instead of only announcing that shifts exist.
  • A recurring series appears once, showing how often it repeats, when it starts and when it ends.
  • Up to eight entries are listed, followed by a count of how many more.
  • Each person's copy only includes shifts they can actually see and reserve.
  • The email button and the push notification both open Reserve shifts with the New filter applied.
  • A shift stays new for seven days, then leaves the filter by itself.
  • Users choose Receive All Notifications, Maximum One Per Day or None, separately for email and push.
