How Does the Resources Module Work on Vome?

Overview

The Resources module allows organization administrators to share files, documents, videos, and other materials directly with their users through Vome. Instead of relying on email attachments or external file-sharing tools, everything lives in one place, with built-in controls over who can access what.

1. What is a Resource on Vome?

A resource is a collection of one or more files that you share with your users. Each resource can include:

  • A title and description
  • One or more attached files (PDFs, videos, images, documents, spreadsheets, and more)
  • Visibility conditions that control which users can see it
  • An optional folder for organization

2. Where do users see resources?

Resources appear in the Resources section of the user's homepage and dashboard. The section only shows when at least one resource is available for that user. If no resources apply to them, the section is hidden entirely.

Resources are also available on the Vome mobile app. Users see the same resource cards with file titles and the ability to open or download files directly from their device.

3. What file types can I upload?

Any file type is supported. This includes PDFs, videos, images, Word documents, Excel spreadsheets, PowerPoint presentations, and more.

Files that can be previewed (PDFs, images, videos) will open in a new tab when accessed. All other file types will download automatically.

4. How do I control who sees a resource?

Each resource has a Visibility Conditions section where you can restrict access based on the following criteria:

  • Must be active in the database
  • Must have completed a specific sequence (or any sequence)
  • Must be approved in a specific opportunity (or any opportunity)
  • Must meet an age requirement
  • Must be associated with a specific site
  • Must have specific profile tags

If no conditions are set, the resource is visible to all authenticated users in your organization. If multiple conditions are enabled, the user must meet all of them.

5. What does “Visible to Admins-Only” mean?

When you enable the Visible to Admins-Only setting on a resource, that resource is completely hidden from users and will never appear on their dashboard. This is intended for internal documents such as coordinator guides, draft content, or any materials not meant for users.

When this setting is enabled, the visibility conditions section is grayed out, since those conditions are irrelevant for admin-only content.

6. What is the difference between Inactive and Admins-Only?

  • Inactive: The resource is temporarily hidden from users. You can reactivate it at any time. Think of it as a pause button.
  • Admins-Only: The resource is permanently hidden from the user-facing page. It is only visible to organization administrators. Use this for internal materials that should never be shared with users.

7. How do folders work?

Folders are an optional way to organize your resources in the admin panel. You can group related resources under a named folder for easier management.

When creating or editing a folder, you can choose whether it is Visible to Users:

  • On: Users see resources grouped under the folder name on their dashboard.
  • Off: The folder is used for your internal organization only. Users see the resources without any folder grouping.

Important: Deleting a folder does not delete the resources inside it. Resources are simply removed from the folder and become unfiled. You can reassign them to another folder at any time.

8. Can I manage multiple resources at once?

Yes. Select multiple resources using the checkboxes on the Resources list page, then click the Actions button to perform bulk operations, including:

  • Setting resources as active or inactive
  • Marking resources as admins-only or visible to users
  • Moving resources to a folder
  • Deleting resources

9. How do site assignments work for resources?

You can link resources and resource folders to specific sites within your organization. This controls which site-scoped administrators can view and manage those resources in the admin panel.

Note: Site assignments affect admin-side visibility only. Which users can see a resource is always controlled by the visibility conditions on the resource itself, not by site assignments.

10. Do resources appear on the Vome mobile app?

Yes. Resources are available to users on the Vome mobile app. The experience mirrors the web dashboard: users see resource cards with titles, descriptions, and the option to open or download files directly from their device.
