How to Check In and Check Out for Shifts in Vome

Overview

The Check-In & Check-Out feature in Vome helps track volunteer attendance and log hours automatically. Volunteers can check in using the mobile app, or an on-site kiosk, and admins can manually record attendance when needed.


1. How Volunteers Can Check In for a Shift

Using the Vome Mobile App

  1. Locate the QR code at your assigned location.
  2. Open the Vome app on your phone.
  3. Go to your Homepage or Schedule view to see your upcoming shift.
  4. Tap the green QR code icon to “Check In”.
  5. Put your phone's camera in front of the QR code.
  6. A confirmation message will appear, and your check-in time will be logged.

Using the On-Site Kiosk

If your organization has set up an on-site check-in kiosk, you can use it to check in without needing a phone or computer.

  1. Locate the Vome Kiosk Station at your volunteer site.
  2. Search your first name or last name
  3. Click Check-in and Save
  4. You will see a confirmation message that your check-in is successful.

2. How Volunteers Can Check Out After a Shift

Using the Mobile App or Web Portal

  1. On your Homepage, see the Upcoming Shift
  2. Tap the orange QR code to “Check Out” when your shift is complete.
  3. Put your phone's camera in front of the QR code.
  4. Your total hours worked will be logged and added to your volunteer record.

Using the On-Site Kiosk

  1. Return to the Vome Kiosk Station.
  2. Enter your name
  3. Find your active shift (Checked-in status), click “Check Out” and Save.
  4. Your hours will be logged automatically.

3. How Admins Can Manually Check In/Out Volunteers

If a volunteer forgets to check in or out, admins can manually update their attendance:

  1. Log in to Vome Admin Panel.
  2. Go to the Schedule Module and select the shift.
  3. Locate the volunteer and click “Check In” or “Check Out” as needed.
  4. The system will update their logged hours accordingly.

4. How to Track Volunteer Attendance

  • Admins can access attendance reports in the Reports section via the Reservations & hours log.
  • Volunteers can view their logged hours under the “My Impact” section in the app.
  • If there are discrepancies, admins can edit hours manually.

5. Troubleshooting Check-In Issues

🔹 Check-In Button Not Appearing?

  • Ensure you are checking in at the correct time (some shifts have a set check-in window).
  • Verify that you are assigned to the shift in your schedule.

🔹 Accidentally Checked In or Out?

  • Contact your administrator to correct your logged hours.

🔹 Kiosk Not Responding?

  • Ensure the device is connected to the internet.
  • Refresh the kiosk or check with an administrator.

Best Practices for Volunteers

Arrive on time and check in as soon as you start your shift.

Use the on-site kiosk if you don’t have a phone or prefer quick check-ins.

Check out promptly to ensure accurate tracking of hours.
