How to Make a Group Reservation as a Volunteer

This article explains how to reserve a shift for a group of people and manage your guests after your reservation is confirmed.

What is a Group Reservation?

If your organization allows group reservations, you can reserve multiple spots on a shift for yourself and additional guests. You are considered the Reservation Lead, which means you manage the reservation and invite others to claim their spots.

Step 1: Select your party size before reserving

  1. From your home page, find the opportunity you are approved for and click Reserve Shifts.
  2. On the shift you want to book, locate the party size pill to the left of the Reserve button. By default, it shows 1 person.

The party size pill appears to the left of the Reserve button on each shift. By default it shows 1 person.

  1. Click the party size pill to open the dropdown.
  2. Use the + and - buttons to set the number of guests for each age group shown (for example: Adults, Children, Infants, Seniors). The age groups displayed and their age ranges depend on what your organization has configured.

The party size dropdown shows each available age group with its age range. The pill updates to reflect your total selection.

  1. Once your party size is set, click Reserve and confirm your reservation.
Note: You can only select a party size within the minimum and maximum limits set by your organization. If an age group does not appear in the dropdown, it has been disabled for that shift. Infants do not count toward the shift's capacity.

Step 2: Enter guest information (if required)

Depending on your organization's settings, you may be asked to fill in information about your guests when confirming your reservation. Some fields may be required before you can complete the reservation.

Step 3: Manage your guests after confirming

Once your reservation is confirmed, you can manage your guests directly from the shift in your schedule.

Open the shift from your schedule to access the following options:

  • Add guests -- Add more guests to your reservation if spots are still available.
  • Modify guest information -- Edit the details you entered for each guest.
  • Send a direct invitation -- Click Send Invitation next to a guest's name to send them an email invitation directly through Vome. This option is only available if you entered an email address for that guest.
  • Generate a reservation link -- Generate a shareable link that you can send outside of Vome. Anyone with this link can use it to claim a spot in your reservation.
Note: Guests who receive an invitation or link can claim their own spot, which gives them access to shift details and any required forms or workflows.
