Microsoft Mailbox Integration - Information and Troubleshooting

Overview

Our Microsoft email integration allows you to connect your mailbox to Vome, so you can send and manage emails directly from the platform.
It is designed for Microsoft 365 (Exchange Online) accounts managed through Azure Active Directory (Azure AD).


What is supported

Vome uses the Microsoft Graph API to securely access and send emails on your behalf.

When connecting your Microsoft email, you will log in through Microsoft’s OAuth flow and grant these permissions:

  • Mail.Send → Send emails through your account

  • User.Read → Identify your user profile

  • openid, offline_access, profile → Authenticate identity, manage sessions, and refresh tokens securely

To use this integration, the following conditions must be met:

  • Your mailbox is hosted on Microsoft 365 (Exchange Online)

  • Your account is part of an Azure AD organization

  • You have permission to authorize third-party applications


What is not supported

The integration will not work if:

  • Your email is hosted on on-premise Microsoft Exchange (not connected to Azure AD)

  • You are in a hybrid environment, but your specific account is not in Azure AD

  • You use a personal Microsoft account, even if it was created with your work email

In these cases, you may encounter errors like:

  • “This account doesn’t exist”

  • “We couldn’t find a work or school account with that email.”


How the integration works (security & permissions)

  • Vome does not store your email password.

  • We use OAuth 2.0 to obtain access tokens.

  • We only use delegated permissions, meaning Vome acts on your behalf and does not have global admin access.

  • Tokens are stored securely using encryption and access controls.

Troubleshooting access issues

If you or your users are blocked when trying to connect:

  • Check with your IT administrator if your account is in Azure AD and allowed to consent to third-party apps.

  • If you see an error like:
    AADSTS50105: Your administrator has configured the application to block users unless they are specifically granted ('assigned') access.

    Ask your Azure AD admin to:

    • Go to Azure PortalAzure Active DirectoryEnterprise Applications Vome Email Integration (App ID: 66230c70-ccfa-477c-af26-a2ac5b38aa7e)

    • Assign your user or group under “Users and groups

    • Optionally, turn off “User assignment required” in the app’s Properties to allow all users

  • If the app is not visible in Enterprise Applications, an admin may need to approve it using an admin consent link.


About Vome’s bulk email option (SendGrid)

If you cannot integrate your Microsoft mailbox for any reason, Vome offers the ability to send bulk emails through our email server, powered by SendGrid.

Important notes:

  • Some features are restricted and only available through mailbox integration, including:

    • Adding custom attachments

    • Creating personalized templates

    • Setting individual subject lines

    • Using dynamic variables to input user's first or last name

    • Saving user-specific email signatures

Integrating your own mailbox unlocks these advanced features and allows full personalization and branding.


Privacy and data protection

  • Vome accesses only the minimum data necessary to perform email functions.

  • All data is secured using encryption at rest and in transit, and protected with strict access controls.
