How do I set my organization's fiscal year?

Overview

Plenty of organizations do not run on a January to December year. If yours opens in July, or April, or October, then a report labelled "Q1" that covers January to March is not your Q1, and the number in it is not the number you need.

The fiscal year setting fixes that. You tell Vome which month your year opens on, and every place the platform reports by quarter or by year uses your calendar instead of the standard one.

Good to know: A fiscal year always opens on the 1st of the month you choose. Start dates part-way through a month, such as 6 April, are not supported.

1. When would I use this?

Set your fiscal year if your organization's financial or reporting year does not begin on 1 January. Common examples:

  • A July to June year, used by many schools and universities.
  • An April to March year.
  • An October to September year, common for organizations reporting to a government funder.

If your year does run from January to December, you do not need to do anything. That is the default, and nothing on your account changes.

2. How do I set it?

  1. Go to Settings.
  2. Open Reporting, then Fiscal year.
  3. Choose the month under Fiscal year starts in.
  4. Choose how you want the year named under Name a fiscal year after.
  5. Check the preview, then select Save.

The preview updates as you choose. It shows the exact dates of your current fiscal year and each of its four quarters, so you can confirm they match your accounting system before you save.

3. How is a fiscal year named?

You decide. A year running from July 2025 to June 2026 is called different things in different countries, so Vome asks which you use:

  • The year it ends in gives FY2026.
  • The year it starts in gives FY2025.
  • Both years gives FY2025-26.

This only changes the name. It does not change which dates the year covers.

4. What changes once I set it?

Anywhere Vome groups figures by quarter or by year:

  • Analytics KPIs, dashboards, growth comparisons and retention cohorts.
  • Saved custom views on reports that use a quarter or year date range.
  • The insights cards on those same reports.
  • Year to date, which becomes your fiscal year to date.
  • Year over year comparisons, which line up with your years.

The period options rename themselves too, so "This year" reads This fiscal year and "This quarter" reads This fiscal quarter. That way it is always clear which calendar a figure is using.

5. What does not change?

Months, weeks and days are the same in any fiscal calendar, so nothing grouped by those moves. A month over month comparison is unaffected.

Your data is not touched either. No hours, shifts, reservations or profiles change. The only thing that moves is the periods your figures are grouped into.

6. Will this change reports I have already saved?

Yes, and that is intended. A saved view or KPI set to a quarter or a year follows your organization's calendar, so after the change it covers your quarter rather than the standard one. Someone reading it will see a different number than they saw the day before.

Caution
Before you save: Changing the starting month re-dates every quarter and year across the platform, including saved analytics KPIs and saved report views. Vome shows a warning naming exactly what will move, so read it before you confirm. Nothing is deleted and no records are changed.

7. Can I still report on a calendar year?

Yes. Once you set a fiscal year, three extra options appear alongside the others:

  • This calendar year
  • Last calendar year
  • Calendar year to date

These always run from 1 January to 31 December, whatever your fiscal year is. They are there for the questions that genuinely are calendar based, such as a tax receipt total or a calendar year grant report.

They only appear for organizations that have set a fiscal year. On a January to December year they would be identical to the standard options, so Vome does not show them twice.

8. Can different sites have different fiscal years?

Not at the moment. The fiscal year is set once for the whole organization, and every site uses it. If your sites genuinely report on different years, please submit a ticket and tell us about it, or email support@vomevolunteer.zohodesk.com. That is the sort of case that decides what we build next.

9. Who can change it, and which plans have it?

An administrator with access to Settings can change it, and it applies to everyone in the organization straight away. The setting itself is available on every plan. What it affects depends on the modules your plan includes, since Analytics is available on Enterprise and Ultimate.
