What is the Shifts & Hours by Profile report?

The Shifts & Hours by Profile report gives you one row per user, summarizing that user's shift activity within a date range. For each user it shows how many shifts they are on, how many are upcoming or past, how many they completed, how many hours they logged or have planned, and (when enabled) the impact value of their logged hours.

The report starts from every shift booking in your organization whose shift falls inside your date range, applies your filters and your own access limits, then groups those bookings by user.

Two points explain most questions about totals that look off:

  • A shift must fall entirely inside your date range to be counted. See the date range question below.
  • Guests on group reservations are counted too, as long as they are linked to a real profile. The person who booked and each linked guest each get their own row and each is credited with that shift. Guests who are not linked to a profile are not counted, because there is no profile to place them on.

What date range does the report use by default?

When you open the report, it uses the last 7 days (from the start of the day 7 days ago through the end of today). You can change the date range at any time at the top of the left filter panel.

Why does a shift need to fall entirely inside my date range?

A shift is only counted if it both starts on or after your start date and ends on or before your end date. A shift that straddles the edge of your window is excluded, not partially counted. If a shift seems to be missing, widen the date range so the whole shift sits inside it.

What is the difference between data filters and view filters?

There are two kinds of filters in the left panel, and they behave differently.

  • Data filters (top of the panel) change what the server calculates. They only take effect when you press Run report. Until you do, an orange "Run report to apply data filters" reminder stays on screen.
  • View filters and Quick search (bottom of the panel) run in your browser on the rows already returned. They hide rows, they never recalculate a number, and they do not require Run report.

The Results badge above the table is simply the number of rows currently shown after view filters and Quick search are applied.

What data filters are available?

Shift titleFree text. Keeps only shifts whose title contains what you typed. Not case sensitive, and partial words match.
SitesLimits the report to shifts linked to the selected sites, either directly on the opportunity or through the category's site. This is historical: a shift is counted because it belongs to that site, even if the user is no longer assigned to that site today.

What is the difference between the Sites data filter and the Sites view filter?

This is a common point of confusion because both are called Sites.

  • The Sites data filter (top panel) asks which sites the work belonged to. It follows the shift.
  • The Sites view filter (bottom panel) asks which sites the profile is assigned to right now. It follows the profile.

For historical reporting by site, use the Sites data filter.

Why do two admins see different totals for the same report?

Some limits are applied automatically based on your admin role, so two admins can see different numbers with the same settings:

  • Restricted opportunity access. If your role is limited to specific opportunities, the report only counts shifts from those opportunities. If your role is limited to none, the report returns nothing.
  • Site scoping. Unless your role grants access to all profiles, the report is limited to the sites you are assigned to. If your organization has "only show site items" turned on, you see only site-linked opportunities. Otherwise you see site-linked opportunities plus organization-wide ones that are not attached to any site.

What do the profile columns show?

Profile TagsEvery tag currently on the user's profile. This reflects the profile as it is today, not the tags it had when the shift happened.
SitesEvery site the user is currently assigned to. This is also today's state, not history. To slice history by site, use the Sites data filter.

Empty values display as N/A.

What do the shift count columns mean?

Every count below is a count of shift bookings, not of shifts. If a user is booked on ten different shifts, that counts as ten.

Two relationships are worth knowing:

  • Upcoming plus Past always equals Total.
  • Completed plus Absent plus Cancelled does not add up to Total. Absent and Cancelled are deliberately excluded from Total, and Completed is a subset of Total.

Why do Completed, Absent, and Cancelled not add up to Total shifts?

This is expected. The total answers what the user is on. Completed, Absent, and Cancelled answer what happened. Absent and Cancelled bookings are deliberately excluded from the total, and Completed shifts are a subset of the total (the ones the user was checked out of), so the three will not sum to the total.

How are hours logged and hours planned calculated?

A few things to keep in mind:

  • Hours logged and Completed shifts move together, because both come only from checked-out bookings. If hours logged is zero but past shifts is not, nobody was checked out of those shifts.
  • Hours planned never counts past shifts. A shift that has already started, even by a minute, stops contributing to planned hours and only appears in logged hours once the user is checked out. So a user can show past shifts with zero planned and zero logged at the same time.

What is Impact value and why might I not see it?

Impact value is the estimated dollar value of the hours a user logged. It is the hours logged on each completed shift multiplied by that opportunity's impact value rate, added up. If an opportunity has no rate set, 30.00 per hour is used.

The Impact value column only appears when impact value is turned on for admins in your organization. When it is off, the column is hidden everywhere: in the table, in the filters, and in the export.

What is the Insights view?

The Grid and Insights toggle at the top of the filter panel switches the same filtered data into a grouped breakdown. Insights groups the rows the report already returned, so it always agrees with the table.

  • Group by: User, Site, or Profile tags.
  • Measure: Total hours (hours logged), number of hours planned, number of total shifts, Completed shifts, or Unique profiles.

What does the table footer show?

The sticky row at the bottom of the table shows a Count under First Name (the number of users currently in view) and a Sum for every count, hours, and impact value column. It sums what is currently on screen, so view filters and Quick search change it.

How do I export the report?

  • Excel exports the visible columns, keeping the on-screen sort, with the same Count and Sum footer. Profile tags and Sites are split out of their pill format, and Impact value is formatted as currency.
  • Export to PDF opens a preview where you can show, hide, and reorder columns and set the orientation. The PDF includes the date range and a readable list of the filters you applied.

Both exports require the database export permission on your admin account.

Quick troubleshooting

  • Why is a shift missing? Most often the shift is not fully inside the date range, or the booking is in a status that does not count (an application that was never approved, or a declined booking). Widen the date range and check the booking status.
  • Why do Total shifts and Completed shifts differ? Total shifts is what the user is on. Completed shifts is what they were checked out of. Anything not checked out sits in Total but not in Completed.
  • Why are hours logged lower than the shift length? Logged hours come from the real check-in and check-out times, so shorter attendance shows fewer hours.
  • Why does a user have past shifts but zero hours? Nobody checked them out of those shifts. Checking them out, or logging hours, will populate the column.
  • Why do two people both show the same shift? It was a group reservation and both are linked profiles on it. Each linked person is credited individually.
  • Sites shows a site the user no longer works at, or is missing one they used to. The Sites column is current membership. For history, use the Sites data filter, which follows the shift, not the profile.
