What does "Auto-approve new applicants" mean when customizing the recruitment workflow for an opportunity?
There are two (2) scenarios where the "Auto-approve new applicants" setting has logical implications.
1. When the "Directly opportunity funnel" recruitment workflow is selected for an opportunity:
- By default, users who apply for an opportunity will be immediately pending for it until they're approved or declined by an admin. The admin will receive a notification about new applicants and will be able to screen them via the opportunity's dashboard.
- When on, the "Auto-approve new applicants" feature will bypass the need for admins to screen applicants for a given opportunity as they will be automatically approved immediately after they register for the opportunity.
When the auto-approval setting is enabled, users who are on the opportunity's information page will see a Register button instead of an Apply button. The reasoning is that they are effectively no longer applying for the opportunity but are rather registering for it and getting instantly approved.
When "Auto-approve new applicants" is Enabled > Register button
When auto-approve new applicants is disabled > Apply button
2. When a user requests a shift through a form submission:
- There is a specific setting when building a form that allows you to display available shifts. You would want to do this if you allow first-time applicants to quickly sign up for shifts as part of their initial inquiry!
By default, even if a user requests a shift through a form submission, given that the shift is inherently linked to an opportunity, and that the user is likely not pre-approved for the opportunity at this point in time, they would be pending for the opportunity. Once an admin approves them for the opportunity, the shift request will flow through and can be approved or declined, or if Instant Book is enabled for the opportunity, all shift requests on the form submission would immediately be reserved with no administrative intervention.
It is important to remember that the platform doesn't allow a user to be reserved for a shift if they're not approved for the opportunity under which that shift was published.
- Enabling the "Auto-approve new appplicants" feature will bypass the need for admins to approve the user for a given opportunity when the user requested shifts.
