How Group Reservation Hours Are Calculated and Tracked on Vome

Overview

When using Group Reservations on Vome, hours are tracked differently than individual reservations. This article explains how group hours are calculated, where they appear in your reports, and how to use the Reservations & Hours Log report to get accurate totals for both individual and group participation.

1. How are hours calculated for group reservations?

Hours are calculated per person within a group reservation.

For example, if 5 users attend under one reservation and each logs 2 hours, that results in 10 total volunteer hours for the group.

This per-person calculation ensures that your organization can accurately measure the true impact of group participation from corporate teams, families, community organizations, and other groups.


2. Why don't guest hours appear on the Reservation Lead's individual profile?

This is by design.

When you log hours for a user who has guests in their reservation, the total group hours will not be added to that individual's personal hour total. This is intentional so that each user's profile reflects only the hours they personally completed.

This separation keeps individual reporting clean and accurate. A Reservation Lead who volunteered for 3 hours will show 3 hours on their profile, not 15 hours because they brought 4 guests.


3. What happens when guests have their own profiles?

If a guest has claimed their spot and has an active Vome account linked to the reservation, their hours are logged individually under their own profile.

This means:

  • The Reservation Lead's profile shows their own hours

  • Each guest with a profile shows their own hours on their respective profiles

  • All hours are tracked and reported independently


4. What about guests who do not have a Vome profile?

For one-time guests or attendees who do not create a Vome account, their individual hours will not appear on any user profile. However, their hours are still tracked.

To see the total hours including these guests, use the Reservations & Hours Log report (explained below).


5. Where can I see total group hours including guests?

The Reservations & Hours Log report is the recommended tool for tracking total hours across both individual and group reservations.

This report includes dedicated fields for group reservation data:

  • Party Size - The total number of people in the reservation (including the Reservation Lead and all guests)

  • Group Name - The name of the group associated with the reservation (if applicable)

  • Group Hours Logged (+ Guests) - The total hours logged for the entire group, including the Reservation Lead and all guests

To access this report:

  1. Navigate to the Reservations & Hours Log report from your reports section

  2. You will find the fields Party Size, Group Name, and Group Hours Logged (+ Guests)


6. How does the "Group Hours Logged (+ Guests)" field work?

The Group Hours Logged (+ Guests) field shows the combined total of hours for the entire reservation, including the Reservation Lead and all guests.

A few important details about this field:

  • If only one person attends (party size of 1), their hours are still included in this field

  • This field is inclusive of all hours across both individual reservations and group reservations

  • The report also shows a Sum total at the bottom, giving you a quick grand total of all group hours within your selected date range

We recommend using the Group Hours Logged (+ Guests) field for total hour reporting, as it provides the most complete picture of volunteer participation.


7. Can I filter hours by a specific group?

Yes.

In the Reservations & Hours Log report, you can use the available filters on the left-hand panel to narrow results by specific groups, date ranges, opportunities, shift tags, and more.

This is particularly useful when you need to:

  • Generate an impact report for a specific corporate partner

  • Track participation from a recurring community group

  • Measure total hours contributed by a family or church group over a specific period


8. Can I export group hour data?

Yes.

The Reservations & Hours Log report includes an Export button in the top-right corner. When you export, all visible fields (including Party Size, Group Name, and Group Hours Logged) are included in the exported file.

The schedule export feature also includes group and guest information, so you can see which individuals are part of each group reservation.


9. Quick Reference

Here is a summary of where different types of hours appear:

Individual user profile: Shows only the hours that specific user personally completed. Guest hours are not added to the Reservation Lead's profile.

Reservations & Hours Log report (Group Hours Logged + Guests): Shows the total combined hours for the entire group reservation, including all guests. This is the recommended field for total hour reporting.

Guests with Vome profiles: Their hours appear on their own individual profiles and are also included in the Group Hours Logged field.

Guests without Vome profiles: Their hours do not appear on any individual profile but are still captured in the Group Hours Logged field of the Reservations & Hours Log report.
