Why should I use the "auto-assign profile tags" feature when moving someone from one step to another in a sequence?

Overview

A volunteer onboarding sequence helps you track each volunteer’s progress through various steps, from start to finish. While you can see a volunteer’s progress in the Sequences module or an individual’s profile, leveraging auto-assign profile tags for each step can add important visibility and functionality throughout the process.

How Auto-Assigning Profile Tags Can Help

1. Easier Tracking & Reporting

  • By assigning a profile tag automatically when a volunteer completes a step, you can see that milestone reflected in their profile at a glance.
  • This can simplify reporting: for example, you can filter your database by a tag like “Completed interview” to view everyone who has finished Step 1 of your onboarding process.

Example

  • Step 1: Volunteer completes an interview.
  • Moving a volunteer from Step 1 to Step 2 triggers the Completed interview profile tag to be assigned to the volunteer's profile.
  • Later, you can quickly pull up everyone who has this tag to see who has finished interviews.

2. Advanced Shift Reservation Options
  • If you use the reservation restriction feature for shifts, profile tags let you control which volunteers see and can reserve specific shifts.
  • Automatically assigning a tag after a training step ensures that only volunteers with that completed-training tag can access those specialized shifts.

Example

  • Step 3: Volunteer completes advanced training.
  • Moving a volunteer from Step 3 to Step 4 triggers the Completed training profile tag to be assigned to the volunteer's profile.
  • If an opportunity’s shifts are restricted to volunteers with Completed training, those volunteers will have instant access—no manual profile tag assignment needed.
