How do Sites work on Vome?

What is a “Site” in Vome?

A Site is a location or sub-unit of your organization—such as a campus, branch, department, or program. Sites help you manage visibility and access to specific content, ensuring the right admins and volunteers see the right information.

Why Use Sites?

Using Sites helps you better organize your portal by enabling:

🎯 Targeted Visibility

Show specific content—like opportunities, forms, or email templates—based on the Site, so users only see what’s relevant to them.

🔐 Granular Admin Control

Assign admins access only to the items linked to their Site(s), allowing for better management and privacy.

🎨 Branding Options

Customize the branding on your landing pages to reflect either the organization or specific Sites.

What Can Be Linked to a Site?

You can link the following items to a Site:

  • Opportunities

  • Categories

  • Forms & Form Folders

  • Form Fields (Questions, Attachments, Digital Consents, etc.)

  • Sequences & Sequence Folders

  • Sequence Fields (File Uploads, Interviews, Fillable PDFs, etc.)

  • Email Templates & Folders

  • Shift Templates

  • Custom Profile Tags

Each link carries a permission level:

  • Read – view-only access

  • Edit – full management access

How Do Admin Permissions Work?

Admins gain edit access through:

1. Site Membership

If an item is linked to one of the admin’s assigned Sites with edit permission, they can edit it.

2. Folder Inheritance (Overrides)

If a folder (like a Sequence Folder or Email Template Folder) is linked with edit permission to a Site an admin belongs to, the admin can edit all items inside the folder—even if those items are only linked with read access or not linked at all.

💡 Note:
If an item is not linked to any Site, it is considered organization-level content and is editable by all org admins.

If you don’t assign a Site to an item:

  • It defaults to organization-level content.

  • It will be visible and editable by all organization admins.

How Do Sites Affect the Public Experience?

Here’s how Sites impact what volunteers and users see publicly:

  • Site Landing Pages: Prioritize and display folders/forms that are linked to that specific Site. If nothing is linked, Vome will fall back to org-level public content.

  • Opportunities & Categories: Volunteers only see opportunities, categories, and forms linked to the Site they’re interacting with.
