How Does Sequence Auto-Expiration Work on Vome?

Sequence auto-expiration allows you to set a policy that automatically expires certain steps in a sequence after a defined period of time. This is particularly useful for compliance-related steps such as document uploads, background checks, and e-learning courses that need to be renewed regularly.

Enabling Auto-Expiration

Auto-expiration is configured at the sequence level. When editing a sequence, navigate to the expiration settings section and toggle on auto-expiration.

Expiration Methods

There are two ways to set the expiration timeline:

Relative expiration
Steps expire a set number of days, months, or years after the sequence is finished by the user. For example, you can set steps to expire 12 months after the user completes the sequence.

Fixed-date expiration
Steps expire on a specific calendar date you choose, regardless of when the user completed the sequence.

What Happens When Steps Expire

When the expiration policy triggers, the following happens:

  • Expirable step types (file uploads, background checks, and SCORM e-learning steps) are marked as Expired.
  • The user and the Sequence Coordinator are notified.
  • Expiration details are visible in the Expiration Report for the sequence.

Steps that are not expirable (such as Interview, Training, or Custom steps) are not affected by the expiration policy.

Managing Expirations

From the sequence details view, you can access the Expiration Report to see which steps have expired across all users. Admins can also set, update, or clear per-profile step expirations individually from the user's sequence panel if needed.
