Overview
Shifts & hours by profile gives you one row per person, with their shift counts, their hours and their impact value.
It is the report to reach for when the question is about people rather than individual bookings.
1. How do I open it?
- Go to Reports in the left-hand navigation.
- Open Shifts & hours by profile.
- Set your date range at the top left, then click Run report.
Setting the date range before running it is worth the habit, because every number in the report is calculated from it.
2. What is the difference between Data filters and View filters?
This is the part that causes the most confusion, and the distinction matters:
- Data filters re-run the report. Change a date range or an opportunity and the hours are recalculated from scratch.
- View filters only change what is shown from data already loaded. They do not recalculate anything.
An example. Somebody has 13 logged hours in your chosen period. A view filter for "more than 15 hours" hides them, but it does not change their 13. If you wanted their hours across a longer period, that is a data filter and the report has to be re-run.
Every numeric column also carries an automatic total at the bottom of the report.
3. What does each numeric column mean?
All of these respect your data filters, so each one describes only the period you selected.
- Number of upcoming shifts. Reserved shifts still to come.
- Number of past shifts. Reserved shifts already gone by.
- Number of total shifts. Upcoming and past added together.
- Number of hours logged. Hours recorded against past shifts.
- Number of hours planned. Hours on upcoming shifts. A shift tomorrow from 12:00 to 14:00 counts as 2.
- Impact value. Each opportunity's logged hours multiplied by that opportunity's own hourly rate, then totalled across every opportunity for the person.
- Number of cancelled shifts. Shifts cancelled and no longer active for them.
- Number of absent shifts. Past shifts where they were marked absent.
- Number of completed shifts. Past shifts they attended and that were marked completed.
4. Hours logged and hours planned do not add up. Why?
Because they answer different questions. Logged hours are what actually happened and were recorded. Planned hours are what is still scheduled.
A gap between planned and logged for past shifts usually means attendance was never recorded, not that people failed to turn up.
5. Can I export it?
Yes, once the report has run. Export everything, or select rows first and export just those. Excel format either way.
