Overview
There are three ways to get logged hours out of Vome, and the right one depends on how granular you need the data.
- Shifts & hours by profile. One row per person, with their total.
- Reservations & hours log. One row per reservation, for line-by-line detail.
- Database advanced filters. A custom set you build yourself.
1. Shifts & hours by profile
Found under Reports. Start here for most questions.
It gives a per-person summary with the hours each one logged, plus filtering and sorting. It also carries the impact value for those hours, applying each opportunity's own rate, which makes it the report to use for a board pack or a funding application.
2. Reservations & hours log
Also under Reports, and the one to use when you need to see the individual entries rather than a total.
Every reservation is its own row, which is what you want for an audit, for checking a disputed figure, or for seeing exactly which shifts made up somebody's total.
It also has an Insights view that summarizes the same data by whichever dimension you choose, in either a table or a chart layout. That is often faster than exporting to a spreadsheet just to build a pivot.
3. Database advanced filters
In your Database, filter on the Logged hours field and combine it with any other filter you need, then export the result.
Use this when the question is about people rather than hours, and hours are just one condition. Finding everyone with a particular tag who has logged more than twenty hours is a database question, not a reports question.
4. How do I actually run one?
- Set your Data filters, such as a date range.
- Click Run report.
- Sort and filter inside the results table to refine what you see, without re-running anything.
The filters and the table are two separate layers. Data filters decide what gets pulled; the table just changes how you look at what came back.
5. How do I export it?
Once the report has run you can Export all data, or select specific rows and Export selected rows. Both are offered in Excel format.
If you only need part of a large report, selecting rows first is quicker than exporting everything and deleting rows afterwards.
6. Hours I expected are missing
Hours only appear once they have actually been recorded, by check-in and check-out on the day or by an approved hour claim. Attendance alone does not create hours.
If a whole shift is missing, check whether its hours were ever logged before assuming the report is wrong.
