Keeping detailed notes during the onboarding process helps maintain context, streamline team communication, and track important details about each volunteer. In Vome, you can easily add, view, and export notes using the Sequences module, volunteer profiles, and the Reports module.
When working through onboarding steps in the Sequences module, you can add notes to a specific step of a volunteer’s onboarding journey. Here's how:
Go to the Sequences module from the main dashboard.
Locate the volunteer you’ve recently interviewed.
Click on the volunteer to open their sequence steps.
Find the Interview step (or any other applicable step), and click on it to open the step popup.
In the step popup, scroll down to the Notes section.
Enter your notes related to the interview (e.g., "Candidate expressed interest in working with seniors. Has prior experience at local food banks.").
Click Save.
The note is now stored with that specific onboarding step and will remain visible to team members with appropriate access.
You can access stored notes in two main ways:
Any notes saved to a sequence step (like the Interview step) can be viewed by clicking that step again. The note will be visible in the popup window under the Notes section.
Open the Volunteers module or search for the volunteer's name.
Click on their name to open their profile popup.
Go to the Notes tab to see all notes recorded across different onboarding steps and activities.
This central view helps you track all notes in one place for each volunteer, regardless of where the note was originally created.
To generate a report of all profile notes across your volunteer base:
Navigate to the Reports module.
Locate the Profile Notes Report.
Run the report using any desired filters (e.g., by date range or volunteer group).
Click Export to Excel to download the notes as a spreadsheet for offline review, sharing, or record-keeping.
Use the Sequences module to store notes directly on onboarding steps.
Access notes from both the step popup and the volunteer’s profile popup.
Export all notes via the Profile Notes Report in the Reports module.
